Practical Information for Conference Participants
Arrival and Registration
- Upon your arrival, please proceed to the Main Gate of the NAOJ Mitaka Campus, where you'll simply mention your participation in the Bfields Conference to the security personnel (no need for prior name registration at the gate).
- Make your way to the Subaru Building where the registration desk awaits. The Subaru Building is behind the main NAOJ building visible from the guard house. The main entrance of the Subaru Building is on the North side.
- At the registration desk you will receive your conference badge and an NAOJ visitor access card, granting you entry to the conference premises. Please remember to return your access card to us upon your departure on your last day at NAOJ.
Please find the box for return or ask LOC members.
- Registration will start on Monday, March 25, at 9 am, accompanied by a welcoming morning coffee.
- The conference fee is payable at the registration desk in cash (Japanese yen only), with the following rates:
Permanent position holders: 30,000 JPY, Non-permanent position holders: 25,000 JPY, Students: 20,000 JPY.

Internet connection
Wi-Fi access is available with the network name "naoj-open". The password will be shared with you on the first day.

Environmentally Friendly Conference
- During the registration you will receive Japanese wooden cups and chopsticks. Please use them for your drinks and meals during the conference.
- Limited printed materials will be available, promoting digital access to programs and maps.

Oral Presentations
- Presenters are advised to connect their laptops for displays. We recommend testing your connection during the break prior to your session (cf. Program).
- Prior to your talk, kindly upload your presentation slides (PDF format) to the designated Slack channel of your session, facilitating note-taking and discussion.

Posters and Flash Presentations
- Poster boards will be provided to display your research. Vertical A0 size (841 x 1189 mm) posters are recommended.
- Hang your poster to the designated board indicating the number of your poster (cf. the list of posters).
- Share your poster on the Slack “Poster” channel.
- Important: If participating in the flash poster presentations, upload your slides (in PDF format) to the Slack “Poster-slide” channel by Friday, March 22. Please label your file as follows: XX-FirstName-LastName.pdf (XX being your poster number).

Poster Competition
- Participate in the poster competition by voting for the best posters. The form for voting will be shared on Slack.
- Votes will be collected until 14:15 on Thursday, March 28 (lunch break of Day 4).
- Winners of the poster competition will have the opportunity to present their work in an oral presentation of 15 min (including 3 min for questions) on Friday afternoon.

Lunch
- Lunch boxes will be provided. Please use the wooden utensils provided as part of our sustainability efforts.
- Outdoor seating and picnic mats will be available. We encourage you to explore the pleasant NAOJ campus park to enjoy your lunch.

Social Events
- Join us on Wednesday, March 27, for an excursion to the historic Jindaiji neighborhood, a 20 min walk from the NAOJ campus, explore the Jindaiji Temple and enjoy the botanical gardens.
- Conclude the day with a conference dinner and a Japanese music concert at NAOJ, starting at 18:00.
